Terms & Conditions

These terms describe how we schedule, deliver, price, guarantee and refund our cleaning services. Please read them before booking.

1. Agreement to these terms

 

By booking or receiving services from Phyllis Housekeeping Service LLC ("we", "us"), you agree to these Terms and Conditions. If you do not agree, please do not book service.

 

These terms apply to residential, commercial, one-time and recurring services, and to any add-on booked alongside them.

 

2. Estimates and pricing

 

Quotes are based on the information you provide about your property, its size and its condition. If the condition or scope differs materially on arrival, we will contact you with a revised price before continuing. Published price ranges are estimates, not guaranteed final prices.

 

Recurring discounts apply only while the agreed schedule is maintained. If visits are skipped so that the interval increases, the rate for the applicable frequency will apply.

 

Minimum charges apply to hourly housekeeping (2 hours).

 

3. Booking and confirmation

 

A booking is confirmed only when we send you a written confirmation by text or email that states the service, date and arrival window. Requests submitted through our website form are not confirmed until you receive that message.

 

You are responsible for the accuracy of the property details you give us. Misstated size, occupancy or condition may change the price or require rescheduling.

 

4. Delivery timeframe

 

Because our services are performed at your property, "delivery" means the completion of the cleaning visit you booked. The timeframes below are the standards we hold ourselves to.

 

  • Quote response: within 1 business day of receiving your request, and usually the same day during office hours.
  • Standard scheduling: most first-time cleans are scheduled within 2 – 5 business days of the quote being accepted.
  • Recurring service: visits occur on the agreed weekday and frequency, with the same arrival window each time.
  • Same-day and emergency service: performed the same calendar day when a crew is available, subject to the rush minimum.
  • Arrival window: we provide a 2-hour arrival window rather than an exact time, because job lengths vary. We call or text if we expect to fall outside that window.
  • Typical duration on site: 2 – 4 hours for a standard clean, 4 – 8 hours for a deep clean, 4 – 9 hours for move-in/move-out, and one to two crew days for post-renovation or heavy-duty work.
  • Multi-day projects: a written schedule of working days is agreed before the first day and updated in writing if it changes.
  • Completion confirmation: you receive a completion message the same day, which starts the 24-hour window for reporting any issue.
  • Delays: severe weather, unsafe conditions, illness, loss of utilities at the property or lack of access may delay a visit. We contact you as soon as we know and offer the next available slot at no penalty to you.

 

5. Scheduling, arrival windows and access

 

You agree to provide safe, lawful access to the property, including keys, codes or entry arrangements. If our team cannot access the property at the scheduled time, a lockout fee equal to 50% of the visit price may apply.

 

Utilities, including running water, electricity and reasonable climate control, must be available at the property on the day of service.

 

6. Cancellations and rescheduling

 

Please give at least 48 hours' notice to cancel or reschedule. Cancellations inside 48 hours may be charged a $40 trip fee. Repeated same-day cancellations may result in the loss of a recurring time slot.

 

We may reschedule for severe weather, illness or safety concerns and will contact you as soon as possible to arrange a new date. If we cancel a confirmed visit and cannot offer an acceptable alternative date, any prepayment for that visit is refunded in full.

 

7. Payment

 

Payment is due on the day of service unless we have agreed to invoiced terms in writing. We accept card, check, Zelle and cash. Returned checks incur a $35 fee. Invoiced commercial accounts are due net 15; balances more than 30 days past due may pause service and accrue a 1.5% monthly late charge.

 

For large one-time projects such as post-renovation or heavy-duty cleaning, we may require a deposit of up to 25%, which is applied to the final invoice.

 

8. Satisfaction guarantee

 

If any area covered by your service was missed or not cleaned to standard, notify us within 24 hours of the visit. We will return and re-clean the affected areas at no charge. The re-clean is scheduled within 2 business days wherever possible.

 

The re-clean is the first remedy under our refund policy below.

 

9. Refund policy

 

We stand behind every visit. If the work does not match what was described in your quote, we will make it right — first by re-cleaning, and by refund where a re-clean cannot resolve the issue.

 

Re-clean first: we will return and re-clean the affected areas free of charge, as many times as reasonably needed, until the work meets the agreed description — provided the issue is genuine, within the original scope, and fixable by professional cleaning.

 

When we refund: if, after a reasonable re-clean attempt, we still cannot complete the work to the agreed standard, we offer a refund. A full refund applies where no part of the service was completed successfully; a partial refund applies where some of the work was completed properly and some was not. Refunds are calculated against the portion of the service not delivered.

 

How to request: contact us within 24 hours of your visit at (229) 234-8817 or info@phyllishousekeeping.com, including your name, the service date, a description of the issue and photos where possible. We acknowledge every request within 1 business day and complete our review within 5 business days.

 

How refunds are processed: approved refunds are issued to the original payment method. Card refunds typically post within 5 – 10 business days. Cash or check payments are refunded by check or electronic transfer within 10 business days. Prepaid recurring visits that have not yet occurred are refunded in full on cancellation.

 

Documentation: our team may take before-and-after photos to document the property condition and support a re-clean or refund review. These are handled under our Privacy Policy.

 

10. When refunds are not available

 

  • New mess or soiling occurred after the team left the property
  • Someone else cleaned the area before we could inspect or re-clean it
  • The issue falls outside the scope of the service that was booked
  • Access for the re-clean was not provided within a reasonable time
  • The property size, occupancy or condition was misrepresented at the time of quoting
  • The cleaning was interrupted, shortened or limited at the client's request
  • Specialized work (mold remediation, pest treatment, restoration, deep stain or odor treatment) was required but not booked
  • The concern relates to permanent wear such as scratches, corrosion, etching, worn finishes or grout discoloration
  • Client-supplied products or equipment affected the outcome
  • The request is made more than 24 hours after the completion message was sent

 

11. Results that cleaning cannot achieve

 

Some conditions cannot be corrected by standard residential or commercial cleaning, and refunds do not apply to them. These include permanent carpet or upholstery staining, heavy grease requiring industrial equipment, embedded pet or smoke odor requiring specialty treatment, mold, mildew or biohazards, and paint damage, rust or long-term wear.

 

Where we identify one of these conditions, we will tell you before or during the visit and, where we can, recommend a specialist.

 

12. Scope limitations

 

For safety and insurance reasons our team does not: climb higher than a two-step stool; move furniture or appliances heavier than 35 pounds; handle biohazards, human or animal waste, mold remediation, insect infestations or hoarding conditions outside a quoted heavy-duty project; clean exterior windows above ground level; or use client-supplied products we have not approved.

 

Excessive clutter may prevent us from cleaning some surfaces. We clean around personal items rather than organizing them unless organizing has been booked as an add-on.

 

13. Valuables, damage and liability

 

Please secure cash, jewelry, firearms, collectibles and irreplaceable items before your appointment. We carry general liability insurance and are bonded. Report any suspected damage within 48 hours of the visit so we can inspect it.

 

We are not responsible for damage resulting from pre-existing wear, improper installation, unsealed or unstable surfaces, items not secured to walls, or defects disclosed to us before service. Our maximum liability for any claim is limited to the cost of the service in question, except where prohibited by law.

 

14. Pets

 

We are happy to work in homes with pets. For everyone's safety, please secure animals that may be anxious around unfamiliar people or equipment. We are not responsible for pets that leave the property during service.

 

15. Client conduct and safe workplaces

 

Your home or business is our team's workplace. We ask that staff are treated respectfully and that the property is free of active safety hazards such as exposed wiring, unsecured firearms, smoke or drug use during the visit.

 

We reserve the right to end a visit immediately and charge the full service price where a crew member's safety or dignity is at risk.

 

16. Non-solicitation of staff

 

Our employees are trained and background checked at significant cost. You agree not to directly hire or engage a current or recent team member outside our company for a period of 12 months following their last service at your property. A placement fee of $2,500 applies if this occurs.

 

17. Communications

 

By booking, you agree that we may contact you by phone, text and email about your quote, schedule, arrival windows, invoices and service follow-up. Marketing messages are optional and you may opt out at any time by replying STOP or contacting our office. See our Privacy Policy for full details.

 

18. Termination

 

Either party may end recurring service at any time with 48 hours' notice. We may decline or discontinue service where conditions are unsafe, staff are treated inappropriately, or account balances remain unpaid.

 

19. Governing law and disputes

 

These terms are governed by the laws of the State of Georgia. Any dispute will be handled in the courts of Lowndes County, Georgia.

 

Before starting any formal action, both parties agree to attempt to resolve the matter in good faith by contacting the other in writing and allowing 15 days for a response.

 

20. Changes to these terms

 

We may revise these terms from time to time. The version posted on this page at the time of your service applies to that service.
